What to Look for When Inspecting Your New Tent?

Your new tent has just arrived! This is the perfect moment to check if everything matches your order and expectations. How should you go about it? Here are a few tips…

Condition of the Package

Start by checking the condition of the shipment itself. Did everything arrive undamaged, dry, and clean? Sometimes, the packaging alone can signal potential issues. If the box is damaged, be sure to open it and inspect the contents immediately. This should be done in the presence of the courier so that any damage can be documented in a formal damage report (damage protocol) signed by both parties. This document serves as the basis for filing a claim regarding the delivery service. Keep in mind that you can also request a courier to return and file a report within 24 hours of delivery.

Occasionally, customers do not collect the package in person, and the courier is instructed to leave it in a designated spot. This is a risky move, as the courier company may refuse to accept liability if there are issues with the condition of the parcel upon arrival.

Completeness

Secondly, you need to verify that your order is complete. Unpack the parcels and ensure that the number of roofs and walls matches what you ordered. Check if every tent includes an anchoring kit. At Inventini, a basic anchoring kit is a standard part of the equipment. For tents with an aluminum frame, this is a small pouch containing stakes (4 or 6) and guy ropes with carabiners (4 or 6). The number of components depends on the number of legs—our pop-up tents come with either 4 or 6.

Frame Condition and Fabric Fit

It is best to pitch your newly delivered tent right away to see how it looks as a whole. First, check if the frame unfolds smoothly and if all components fit together perfectly. Express event tents should set up exactly as their name suggests—fast!

Next, put on the fabric covers to ensure the roof and walls sit correctly—there should be no folds or unevenness, and everything should be nicely tensioned. Keep in mind that it’s best to do this on flat, level ground, and make sure the legs are positioned correctly. The fit of the fabric is best evaluated with all walls attached and secured using the zippers and Velcro. This is also a great opportunity to check if these fasteners are working properly! 🙂

Consistency with the Graphic Design

Now it’s time for another crucial element – the graphics. Check if everything matches the design you received for approval. Naturally, slight variations between the “mockup” and the final product may occur. A 3D visualization is for illustrative purposes only, helping you better imagine the finished project. The 2D templates, however, are precise and serve as the actual basis for printing. If you notice any discrepancies here, please let us know immediately.

If your graphics are complex, verify that all elements are in their correct positions (e.g., check if each double-sided wall features exactly the graphics you ordered).

Then there is the matter of color consistency. Evaluate whether everything looks as it should. What if you notice a difference? Small variations (around 5%) are acceptable, but significant deviations are, of course, grounds for a complaint.

How do we determine if a deviation is large enough? Our point of reference is the PANTONE system, which allows us to eliminate unnecessary discrepancies. However, sometimes—for various reasons—graphic colors are not specified using this system. In such cases, we always inform customers that the colors seen on a screen may slightly differ from the final print. This can be due to monitor settings, lighting conditions, or whether the fabric is factory-dyed or single-sided printed. Nevertheless, if you have any doubts, be sure to report them to us!

Stitching and Seams

Continuing with our “from the big picture to the details” approach, it’s now time to look at the seams and threads. Inspect these details closely so that nothing escapes your notice. You should also hold the fabric up to the light—this is the best way to spot any potential imperfections in the material.
